Overview
Phase 1 is the first interaction we have with the client after they’ve paid us and initiated a business transaction to provide them a service. It’s extremely important to make a good first impression. Being kind and communicating effectively are absolutely key, even when you may not be comfortable with what you’re doing yet.
This phase shouldn’t take any longer than 30 to 45 minutes.
What happens here is we must configure their computer to be ready to Phase 2, which is when we record a service. It’s also highly, highly likely they’ll have a lot of questions for you. Remember, you will be their first interaction with any sort of technician or tech person on our end.
What’s also likely is you could be dealing with just about anybody from their church such as a pastor, worship leader, tech person, audio engineer, volunteer, or any combination of them all. Again, kindness and clear communication is key. Don’t be afraid to say you don’t know something but you’ll find out for them.
Chief things they’ve gotta do for you: have their mixer on and connected via USB to the computer they’ve designated for us to work on IN PERPETUITY.
After that, it’s pretty much all you working, answering questions, and preparing them for what comes next.
I will link any necessary external links right in text. I will not put a download button. So just click the text to take you where you need to go. Easiest thing to do to get these links to their machine is send them over the splashtop chat and click link directly in chat on THEIR SIDE.
Pre-Call info/PSA text
This is where you’ll want to send them a text in woosender to the contact who has scheduled the call and let them know a few things. I’ll flesh this out later. But the primary thing will be to give them instructions on getting logged into the computer and have the board on and connected to an available computer.
There will be a text “template” that I’ll make for you guys and let you know which it is. There will probably also be a screen recording video to accompany. Somebody worry me to death if I haven’t done that yet.
Getting slack going
Here, you’ll add the account holder/main point of contact to the slack channel you create. You’ll probably need to add me (Clayton). Video details all steps. If I haven’t made you guys admins in there, let me know and I will.
getting logged into their computer | Splashtop
This is pretty simple.
They should have already been told “on the computer, go to sos.splashtop.com, install the automatic download, and give me the code the window gives you. If you’re on a Mac, I need you to enable ‘accessibility’ and ‘screen recording’ in the window that pops up.”
They may not have done that yet, so that is a phrase you might want to commit to memory.
After that, you’ll install splashtop streamer which gives us “unattended access” to that computer.
Configure their machines as follows
Computer name: “Client_Name | Church Name”
In streamer, go into security and make sure it’s set to NO ADDITIONAL PASSWORD
Remember: splashtop streamer is in the top right on a Mac, and in the bottom right on a PC.
Software payload
This will consist of:
Install these items on their computer….obviously.
You’ll need other get studio one credentials from me fairly regularly. Just text me.
Console Networking
This is going to vary based on their mixer. I’m just gonna imbed videos for popular mixers. Feel free to reach out to me if you get stumped here. This will a lot of times involve walking them through basic networking over the phone. It sucks. I’m sorry.
This is a few, but not all. A video for any other mixer can be easily found on YouTube.
Console desktop control apps
These will need to be downloaded on THEIR COMPUTER.
- X32 EDIT (also works with M32)
- SQ MIXPAD
- PRESONUS UNIVERSAL CONTROL
Again, not all but some common ones. Mixing Station is a third party app that will basically control any console. You guys may prefer to use that. I don’t care.
Console DIRECT OUTS
Again, I’ll probably just paste some videos. This step is most important step in P1. We can’t get a recording if this is wrong.
This is a few, but not all. A video for any other mixer can be easily found on YouTube.
Getting Phase 2 scheduled
You’ll schedule their service time, not rehearsal time, not what time they get there, here.
PipeDrive
This is our project management software. Pretty easy to use. Watch video below. If you don’t have credential for this or would like further training, please let me know.
Conculsion
This is pretty much it. if you guys would like something added or expanded upon, let me know and I’ll work on it.
